Job Title: Executive Assistant


Job Description

We are seeking an experienced and professional Executive Assistant to provide comprehensive, high-level administrative support to executive leadership. This role requires independent judgment, discretion, and a proactive approach to managing schedules, coordinating communications, and supporting strategic priorities. The ideal candidate is organized, resourceful, and capable of handling a variety of confidential and time-sensitive tasks.


Responsibilities

  • Deliver specialized administrative support to executive leadership including calendar management, meeting logistics, and communications.
  • Coordinate complex scheduling needs, travel arrangements, and event logistics.
  • Screen calls, emails, and incoming requests; prioritize and handle inquiries with professionalism.
  • Draft, edit, and format documents including memos, reports, presentations, and internal communications.
  • Attend meetings, take detailed notes, and track follow-up items to ensure timely completion.
  • Develop and maintain databases, records, and filing systems.
  • Act as department timekeeper and support payroll/timekeeping system entries when needed.
  • Ensure smooth communication and coordination within and between departments.
  • Handle sensitive information with a high degree of confidentiality and discretion.

  • Minimum of 5 years of recent experience supporting executive-level leadership

  • Proven ability to manage multiple competing priorities in a fast-paced environment
  • Excellent written and verbal communication skills
  • High level of professionalism and discretion when handling confidential information
  • Strong organizational, problem-solving, and decision-making skills
  • Experience with administrative tools, scheduling software, and timekeeping platforms

Additional Skills & Qualifications

  • Previous experience in a large corporate or healthcare environment
  • Familiarity with Workday or similar enterprise resource systems
