Facilities Administrative Assistant
Position Overview
We are seeking a reliable and detail-oriented Facilities Administrative Assistant to support the day-to-day operations of our facilities department. This role provides administrative and operational support to ensure buildings, workspaces, and site operations remain safe, functional, and well-maintained.
This position serves as a key point of contact for facility-related requests, vendor coordination, and internal support for maintenance and building operations.
Key Responsibilities
Administrative Support
Provide general administrative support to the Facilities team, including scheduling, correspondence, and file management
Maintain accurate records of maintenance activities, inspections, and service logs
Process purchase orders, invoices, and vendor documentation
Track work orders, service requests, and follow-ups to ensure timely completion
Manage incoming calls, emails, and facility-related inquiries
Facilities Operations Support
Assist with daily facility operations including office, building, or site support
Coordinate room setups, office moves, and workstation readiness
Maintain inventory of office, custodial, and maintenance supplies [ivcc.edu]
Support cleanliness, organization, and general upkeep of the facility
Maintenance & Vendor Coordination
Schedule and coordinate maintenance, repairs, and service calls with vendors
Act as a point of contact for contractors and ensure services are completed on time [velvetjobs.com]
Track preventative maintenance schedules and ensure compliance
Assist with obtaining quotes and coordinating service agreements
Facilities & Safety Support
Maintain compliance records, safety logs, and inspection documentation
Assist with tracking building systems (HVAC, plumbing, electrical) maintenance activities [interviewguy.com]
Help coordinate safety checks, access control, and general facility security support
Logistics & Coordination
Receive and distribute mail, packages, and facility deliveries
Assist with onboarding logistics (workspace setup, badges, equipment coordination)
Support coordination of facility-related projects (moves, renovations, repairs)

Job Type & LocationThis is a Contract position based out of Fremont, CA.
Pay and BenefitsThe pay range for this position is $25.00 - $28.00/hr.
