Job Title: Receptionist


Job Description

Greet and screen visitors and answer phone calls while maintaining professional composure throughout interactions with visitors and employees. Provide administrative support to all areas of Human Resources, and other departments when needed. In addition, maintain calendars for conference rooms, sort mail, and other duties as assigned.


Responsibilities

  • Greet visitors and employees in a professional and courteous manner, assist with the sign-in process, and complete the appropriate security screening prior to visitors entering the building beyond the reception area.
  • Create and provide temporary badges when needed.
  • Answer internal and external calls, direct them to the appropriate person, and page employees when needed.
  • Perform a combination of administrative and clerical assignments to support the business, including sorting mail, copying, coordinating conference room calendars, and working on short-term and long-term projects.
  • Create and maintain employee files, including off-site storage records.
  • Maintain the Human Resources Information System (HRIS) including data entry.
  • Prepare meeting materials and assist the Purchasing department with invoices.
  • Maintain necessary files, records, and order supplies.
  • Schedule meetings, training sessions, and appointments.
  • Assist HR staff and perform various administrative tasks supporting other departments during downtime.

Essential Skills

  • 1+ year of receptionist experience in a corporate setting.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office.
  • Experience with customer service, data entry, and administrative support.
  • High school diploma.
  • ITAR compliance.

Additional Skills & Qualifications

  • Front desk and human resources experience.
  • HR coordination and administration skills.

Work Environment

This role is situated in a manufacturing facility and requires 100% onsite presence from Monday to Friday. The position follows a 9/80 work schedule, working 9 hours a day with every other Friday off. The hours are from 7 am to 4:45 pm, with a 45-minute lunch break. The receptionist will be seated at the front desk, responsible for checking in visitors, verifying ITAR documents, and answering phones. Professionalism is crucial, as the receptionist represents the company. Although the role is very autonomous, there will be opportunities to assist other departments, including HR, during downtime. The facility is an industrial site focused on aerospace manufacturing.
