Responsibilities
- Answer and route a high volume of incoming calls while delivering professional, courteous, and customer-focused service.
- Greet and assist visitors in person, ensuring a positive and welcoming front desk experience.
- Take and process payments over the phone and in person at the front counter, providing receipts and ensuring accurate documentation of each transaction.
- Maintain accurate and up-to-date customer records, including both paper and electronic files, to support efficient office operations.
- Organize and manage filing systems, including creating, updating, and archiving documents as needed.
- Perform data entry with a high degree of accuracy, including customer information, payment details, and other administrative data.
- Handle day-to-day front office tasks such as scanning, copying, and printing documents to support team members and office functions.
- Assist customers with general questions and direct inquiries to the appropriate team members or departments as needed.
- Monitor and respond to email communications in a timely and professional manner using standard office software.
- Support general administrative and clerical duties, including scheduling, document preparation, and other tasks assigned to ensure smooth office operations.
- Uphold professional phone etiquette and customer service standards in all interactions.
- Contribute to a well-organized, efficient front office environment by managing multiple tasks and priorities in a fast-paced setting.
Essential Skills
- At least 5+ years of receptionist or front office experience in a customer-facing role.
- Prior cashiering or payment processing experience, including phone and in-person transactions.
- Strong customer service skills with professional communication, patience, and the ability to remain calm under pressure.
- Proficiency with computer skills and comfort using standard office systems such as email, scheduling tools, spreadsheets, and basic data entry software.
- Strong data entry skills, including accuracy and speed, with experience using 10-key.
- Proficiency with Microsoft Office applications, including Word, Excel, and Outlook.
- Experience providing administrative support and clerical assistance in an office environment.
- Ability to maintain organized filing systems for both paper and electronic records.
- Customer service–oriented mindset with a focus on delivering a positive experience to every caller and visitor.
- Ability to handle inbound calls efficiently while multitasking and managing front desk responsibilities.
- Strong attention to detail and the ability to manage multiple tasks in a fast-paced setting.
- Clear, professional phone etiquette and communication skills, both verbal and written.
Additional Skills & Qualifications
- Bilingual skills in English and Spanish are preferred but not required.
- Experience working in a customer service environment with high call volume.
- Previous experience in a front desk, receptionist, or administrative assistant role supporting a customer-facing office.
- Comfort using office equipment such as scanners, copiers, and printers.
- Ability to collaborate with team members and support various departments through administrative assistance.
- Strong organizational skills and a proactive approach to managing front office needs.
Work Environment
This position operates in a front office environment with regular interaction with customers by phone and in person. Standard work hours are Monday through Friday from 8:00 a.m. to 5:00 p.m., with occasional overtime as needed to support business demands. The role involves frequent use of computers, Microsoft Office applications, email, and office equipment such as phones, copiers, scanners, and printers. Performance is measured by reliability in attendance and adherence to professional phone etiquette. The environment is fast-paced, customer-focused, and requires consistent professionalism at the reception desk.
Job Type & LocationThis is a Contract to Hire position based out of Oakdale, CA.
Pay and BenefitsThe pay range for this position is $19.00 - $21.00/hr.
