This role serves as the primary interface with field technicians, managing and maintaining an accurate scheduling system for real-time call status monitoring. The position requires reviewing open jobs to determine reasons for incomplete tasks and ensuring payroll is verified and ready for postings.
Responsibilities
- Monitor work orders from customer service representatives regarding service requests and dispatch technicians accordingly.
- Monitor branch emails.
- Ensure service calls are dispatched to the correct technician in a timely manner.
- Provide customers with updates and estimated time of technician arrival.
- Update portals with service call information and assign technicians.
- Create work orders in the IFS system for sales-approved quotes and dispatch to field technicians.
- Monitor and follow up on outstanding service calls and quote appointments using provided reports to review open appointments and ensure all costs have been applied.
- Review and adjust payroll entries as needed, ensuring all payroll is reviewed and completed by 9 AM daily.
Essential Skills
- Experience in dispatching.
- Proficiency in data entry.
- Strong customer service skills.
- Competency in Microsoft Office, particularly Windows, Excel, and Word.
- Experience in logistics and administrative support.
- Ability to multi-task, handling both email and call inquiries.
Additional Skills & Qualifications
- 1-2 years of experience working in a call center or data entry environment.
- Organizational skills.
- Ability to work in a fast-paced environment.
Work Environment
The position follows a Monday through Friday schedule, starting between 7:00 AM and 8:00 AM and ending between 4:00 PM and 5:00 PM, with a one-hour lunch break. The team operates in an open office environment, consisting of over 10 members, with a hybrid option to work from home 1-2 days once directed. The dress code is business professional as executives' offices are nearby.
