Job Title: Data Entry / Order Administration Specialist
Job Description
This contract role focuses on high-volume order administration and customer service for a life sciences organization. You will enter and manage a large volume of customer orders in a database or order management system, support the full order lifecycle from receipt through fulfillment, and handle customer inquiries across phone and email. The position is part of a large team onboarding initiative in a fast-paced environment and offers a hybrid schedule based in San Diego.
Responsibilities
- Process a high volume of daily customer orders accurately into a database or order management system.
- Manage the full order lifecycle from order receipt through fulfillment, ensuring completeness and accuracy at every step.
- Identify order issues, discrepancies, or errors and resolve them quickly to minimize impact on fulfillment and customer satisfaction.
- Handle customer inquiries related to orders professionally via both inbound phone calls and email.
- Manage phone and email queues simultaneously, maintaining a high level of responsiveness and service quality.
- Navigate customer frustration related to order issues and system changes, de-escalating situations and providing clear resolutions.
- Work within a structured, process-driven environment, following established procedures and workflows in a new system implementation.
- Maintain accurate, up-to-date records of orders, customer interactions, and resolutions in the system.
- Protect the confidentiality of customer information and order data at all times.
- Collaborate with a large customer service and order administration team to support overall department goals.
- Participate in a coordinated group onboarding process with other new hires and adapt to evolving processes as the new system is rolled out.
Essential Skills
- 1–2 years of experience in customer service or order administration.
- Hands-on experience processing a high volume of daily orders into a database or order management system.
- Proven ability to manage the full order lifecycle from receipt through fulfillment.
- Strong customer service skills, including experience handling inquiries across both inbound phone calls and emails.
- High accuracy and efficiency in data entry within a structured, process-driven environment.
- Ability to manage multiple customer interactions and channels simultaneously without sacrificing quality or professionalism.
- Professional phone etiquette and polished communication skills, both verbal and written.
- Strong attention to detail with the ability to identify and resolve order discrepancies quickly.
- Comfort working in a fast-paced, high-volume order management environment.
- Ability to maintain strict confidentiality of customer information and order data.
- Comfort working within a new or recently implemented system and following defined processes.
- High school diploma.
Additional Skills & Qualifications
- Bachelor’s degree preferred, particularly in life sciences or a related field.
- Life sciences or biotechnology industry preferred.
- Experience supporting customers in an order administration or order processing capacity.
- Experience working in a large team or cohort-based onboarding environment.
- Ability to remain patient, polished, and composed when navigating customer frustration related to order issues.
- Familiarity with database management or order management systems.
- Strong organizational skills and ability to prioritize tasks in a high-volume setting.
Work Environment
This role is based onsite in San Diego, CA. You will work in a fast-paced, high-volume order management environment that is expanding due to a new system implementation. The team operates in a professional setting that requires strict confidentiality of customer data and order information, as well as adherence to structured, process-driven workflows. You will be part of a large group of new hires who are preferred to onboard together as a cohort, joining a collaborative customer service team supporting products used in biological research worldwide
Job Type & LocationThis is a Contract position based out of San Diego, CA.
Pay and BenefitsThe pay range for this position is $22.00 - $25.00/hr.
