Description
Under the direction of the Scheduling Supervisor and Scheduling Operations Manager, the Administrative Assistant III will complete assigned tasks by following Departmental guidelines and Medical Center policies and procedures. The incumbent will also be cross-trained to support achievement of various departmental responsibilities by performing backup tasks, as needed.
The Administrative Assistant III is responsible for supporting all aspects of support related to scheduling and/or confirming patients for upcoming surgical cases across multiple UCLA Health venues. This incumbent is responsible for working within an interdependent team structure by using strong communication and problem solving skills to maximize customer satisfaction for patients, physicians, nurses, and administrative colleagues. The incumbent must be adaptable and demonstrate good time management skills in order to achieve the department's goal of completing a variety of time-sensitive tasks with varying daily volumes and complexities. To enable these outcomes, the incumbent is responsible for achieving quality and productivity standards in designated performance metrics.

Required:
- Outstanding customer service skills
- Excellent communication skills, either over the phone and in writing
- Experience in organizing workflow to accomplish established objectives
- Strong organizational and time management skills
- Ability to work as part of team and establish cooperative working relationships with administrators, physicians, peers, and the public
- The ability to always maintain a professional demeanor
- Knowledge of Medical terminology
- Demonstrated ability to independently solve complex problems
Preferred:
- 2 years OR Scheduling experience, including creating and modifying scheduled cases
- Bachelors Degree
- Familiarity with Care Connect system and clinic scheduling procedures
- Knowledge of CPT and ICD-9 coding
- Demonstrated experience in process improvement efforts, related to productivity or quality improvement efforts
- Experience with varied computer software and hardware including word processing, knowledge of Microsoft Word, Excel, and Access
