Job Description
The Document Control Specialist manages controlled documents within a regulated quality system to ensure they are accurate, current, properly approved, and compliant with applicable quality and regulatory standards. This role works closely with Quality Assurance and cross‑functional teams to support audit readiness, maintain effective document control processes, and uphold data integrity across the organization.
Responsibilities
- Manage the full document lifecycle, including creation, review, approval, revision, distribution, and archival of controlled documents.
- Maintain consistent document formatting, numbering, version control, and naming standards across all controlled documents.
- Ensure only current, approved documents are available at points of use and remove outdated versions from circulation.
- Coordinate document change requests and track approval workflows to ensure timely and compliant updates.
- Track revision histories, effective dates, and document status to maintain accurate and complete document records.
- Remove obsolete documents from active use and maintain archives in accordance with defined retention requirements.
- Maintain traceability between documents, records, and change controls to support compliance and audit readiness.
- Manage quality records, including training records, batch records, Device History Records (DHRs), and Device Master Records (DMRs) as applicable.
- Support internal and external audits by retrieving, organizing, and providing requested documentation promptly and accurately.
- Monitor document control metrics and support management review activities by providing relevant data and reports.
- Provide guidance and training to document authors and employees on document control procedures, standards, and best practices.
- Maintain confidentiality and data integrity of sensitive information handled within the document control system.
- Provide administrative support to Quality leadership as needed, including preparation and organization of quality documentation.
- High school diploma or GED required.
- 1–3 years of experience in document control or working within a regulated environment.
- Strong understanding of document control, change management, and records retention practices.
- Working knowledge of ISO and FDA quality system requirements preferred.
- High attention to detail with strong organizational and time‑management skills.
- Ability to manage multiple documents, tasks, and priorities in a fast‑paced environment.
- Proficiency in Microsoft Word, Excel, Outlook, and document management systems.
- Strong written and verbal communication skills.
- Ability to learn new software and systems quickly and effectively.
- Some college education preferred.
- Experience working within a Quality Management System (QMS).
- Experience supporting audits and interacting with auditors.
- Familiarity with quality records such as training records, batch records, DHRs, and DMRs.
- Demonstrated ability to collaborate with cross‑functional teams, including Quality Assurance, manufacturing, and warehouse personnel.
This is an office‑based role with regular use of computers and standard office equipment in a structured, quality‑focused environment. The position includes some interaction with manufacturing or warehouse areas to support document and record needs. The role requires the ability to sit, stand, and walk throughout the day, as well as lift up to approximately 35 pounds as needed. The work setting emphasizes compliance, organization, and collaboration to maintain a robust quality system and support ongoing audit readiness.

This is a Contract to Hire position based out of Ventura, CA.
Pay and BenefitsThe pay range for this position is $26.00 - $29.00/hr.
