Job Description
This position is responsible for providing exceptional administrative support at the front desk, as well as assisting with basic HR administrative tasks. This role involves greeting visitors, answering phone calls, managing appointments, and performing various clerical tasks to ensure the smooth operation of the office. Additionally, the position will support HR functions, particularly related to onboarding union employees.
Responsibilities
- Greet and welcome visitors, ensuring all guests are warmly received and directed to the appropriate person or department.
- Answer and manage phone calls, handling incoming calls professionally, redirecting calls as necessary, and taking messages.
- Perform clerical duties such as filing, photocopying, and data entry to support administrative functions.
- Maintain the reception area, keeping the front desk and reception area clean and organized.
- Provide information and assistance to visitors and callers regarding the company's services and procedures.
- Assist with the onboarding process for new union employees, including helping them get set up in the system.
- Maintain and update employee records and files, ensuring accuracy and confidentiality.
- Assist with the preparation and distribution of HR-related documents, such as employment contracts and onboarding materials.
- Address basic HR-related questions from employees and direct more complex inquiries to the HR department.
- Ensure compliance with company policies and procedures, as well as relevant labor laws and regulations.
