Accounts Payable Coordinator
Job Description
The Accounts Payable Coordinator will manage essential accounts payable activities and provide crucial administrative and office support. This role is pivotal in ensuring accurate financial processing and maintaining organized documentation to facilitate smooth daily operations.
Responsibilities
- Process weekly accounts payable activities, including tracking purchase orders, invoices, receipts, delivery tickets, and vendor statements.
- Perform consistent, accurate data entry in QuickBooks Desktop.
- Communicate with vendors to request missing information and resolve discrepancies.
- Maintain organized records of all accounts payable documentation for tracking and audit purposes.
- Answer incoming calls and assist with general inquiries.
- Receive and manage office deliveries.
- Scan, file, and organize documents both physically and electronically.
- Maintain and update office and safety supply tracking in Excel.
- Prepare, update, and format documents using Word, Excel, and PDF tools.
- Manage and track safety-related documentation.
- Coordinate basic office operations, including scheduling and meeting support.
- Maintain insurance certificates for clients, subcontractors, and company vehicles.
- Assist with light recruiting support, including tracking applicants.
- Provide general administrative support and take on additional tasks as needed to support daily operations.
Essential Skills
- 2+ years of experience in accounts payable and/or administrative support.
- Hands-on experience with QuickBooks Desktop (2024 or similar).
- Proficiency in Microsoft Office (Excel, Word, Outlook).
- Strong data entry skills with a high level of accuracy and attention to detail.
- Comfortable managing multiple tasks and staying organized in a small office setting.
- Ability to communicate professionally with vendors and internal team members.
- Experience working with and editing PDF documents.
- Strong typing and general computer skills.
- Able to work independently while following established processes.
Additional Skills & Qualifications
- Willingness to step in and support various operational needs.
Work Environment
The position requires working five days a week in the office from 7:30 AM to 4:00 PM, with a 30-minute lunch break. There is flexibility for an 8:00 or 8:30 AM start if needed.
Job Type & LocationThis is a Contract to Hire position based out of Glen Burnie, MD.
Pay and BenefitsThe pay range for this position is $52000.00 - $62400.00/hr.
