Job Description
The Provider Outreach Specialist supports a dedicated outbound provider call center focused on improving HEDIS medical record retrieval processes. In this role, you proactively contact healthcare provider offices to secure Electronic Medical Record (EMR) access or coordinate record sharing in advance of HEDIS abstraction. By streamlining chart collection and improving overall project efficiency, you help ensure earlier completion of data collection and support enhanced quality review and HEDIS performance.
Responsibilities
- Conduct high-volume outbound calls to provider offices using an automated dialing system to request access to EMR systems or coordinate medical record-sharing processes for HEDIS review.
- Build and maintain professional rapport with provider office staff to streamline the exchange of medical records and encourage timely responses.
- Accurately document all outreach efforts, provider feedback, and call outcomes within internal systems and tracking tools.
- Coordinate closely with internal HEDIS and abstraction teams to ensure required medical records are obtained ahead of project deadlines.
- Track, prioritize, and manage assigned provider lists to ensure all outreach activities are completed efficiently and within established timelines.
- Identify barriers to medical record access, escalate issues appropriately, and work collaboratively with internal stakeholders to resolve obstacles.
- Maintain strict compliance with HIPAA and organizational guidelines when handling sensitive patient information and medical data.
- Support quality improvement efforts by contributing to accurate and timely medical record retrieval for chart review and audit activities.
- Demonstrated experience performing medical records retrieval or pre-HEDIS chart chase.
- Outbound call experience with strong customer service and oral communication skills.
- Previous experience working directly with physician or clinic staff (strongly preferred).
- Knowledge of medical records and health information management (HIM) practices.
- Familiarity with medical terminology and medical documentation.
- Understanding of HEDIS processes, quality improvement, chart review, and audit activities.
- Ability to work with Medicare-related data and quality initiatives.
- Proficiency in documenting data accurately in internal systems during and after calls.
- Medical Assistant Certificate in Florida OR Licensed Practical Nurse (LPN) in Florida.
- Associate's degree or higher.
- Comfort working in a high-volume outbound call environment.
- Ability to build rapport quickly with provider offices and clinical staff.
- Strong attention to detail when tracking outreach efforts and managing provider lists.
- Ability to follow standardized processes while adapting communication style to different provider office environments.
This is a 100% remote position with equipment provided. You work as part of a dedicated outbound call center team using an automated dialing system and internal electronic systems to document outreach and manage provider lists. The environment is fast-paced and goal-oriented, with a strong focus on meeting HEDIS timelines, adhering to HIPAA and organizational privacy standards, and supporting collaborative work with internal HEDIS and abstraction teams.

This is a Contract position based out of Saint Louis, MO.
Pay and BenefitsThe pay range for this position is $25.00 - $25.00/hr.
