Job Title: Receiving Coordinator
Location: Middlesex, NJ
Pay Rate: $20 - $24 an hour
Shift: 1:00 pm - 9:00 pm
A highly reputable company is looking for a Receiving Coordinator to join their team! This role includes a large range of duties including but not limited to ensuring that all inbound shipments are accurately documented, processed, and released for billing in compliance with state, federal, and site regulations. This position focuses on receiving and validating shipping documentation in AS400, supporting operations with timely paperwork, and serving as a primary point of contact at the front desk for drivers and internal teams. The role offers a contract-to-hire path with strong potential for long-term growth and upward mobility within the organization.
Responsibilities
- Receive all incoming shipping documents into the AS400 system, verifying that all required information is present, accurate, and complete.
- Prepare internal paperwork to enable operations to off-load receipts in a timely and accurate manner.
- Perform quality assurance and quality control checks on all incoming manifests, Land Disposal Restriction forms, UHC forms, and other required documentation to ensure accuracy and compliance with state, federal, and site regulations.
- Sign, date, and distribute manifests in accordance with applicable state and federal regulatory requirements.
- Identify, investigate, and resolve load and manifest discrepancies promptly while maintaining full compliance with all regulatory standards.
- Ensure all receipts are released to billing in a timely and accurate manner to support efficient financial processes.
- Collaborate closely with waste tracking and billing teams to confirm that all receipts are downloaded correctly and reflect accurate information.
- Monitor and ensure that all receiver numbers are accounted for and billed, including those associated with voids, cancellations, and no-shows.
- Respond to phone inquiries from internal and external customers, providing clear information and following up as appropriate to resolve issues.
- Develop a strong understanding of relevant regulations and site capabilities to support compliant and efficient logistics operations.
- Maintain accurate and complete information within AS400 to support regulatory reporting and internal tracking requirements.
- Scan and organize documentation to maintain a clear, accessible, and compliant record-keeping system.
- Work closely with shift supervisors and truck drivers at the front desk to coordinate arrivals, departures, and documentation flow.
Essential Skills
- Experience in shipping and receiving processes.
- Ability to accurately enter and manage data in AS400 and Microsoft Office applications, including Excel.
- Strong attention to detail and accuracy in handling manifests, regulatory forms, and billing documentation.
- Capability to perform thorough QA/QC checks on incoming documents to ensure regulatory compliance.
- Effective communication skills for interacting with internal teams, shift supervisors, truck drivers, and external customers by phone and in person.
- Ability to work on a computer for extended periods, managing multiple documents and systems simultaneously.
- Availability and willingness to work a second shift schedule.
- High School diploma or General Educational Development (GED) required.

Work Environment
This role is based at the front desk in a logistics facility, working primarily on a computer and interacting closely with shift supervisors and truck drivers throughout the day. The Logistics Coordinator works an eight-hour second shift, with an ideal schedule running from approximately early afternoon (around 1:30 p.m. or earlier if preferred) until 9:00 p.m. The environment is fast-paced and detail-oriented, centered around accurate documentation, regulatory compliance, and close collaboration with operations, waste tracking, and billing teams. The position is structured as a contract-to-hire opportunity, offering the potential to transition into a long-term role with room for advancement as demonstrated by previous internal promotions.

Pay and BenefitsThe pay range for this position is $23.00 - $24.00/hr.
