Job Description
The Purchasing & Logistics Agent ensures on-schedule delivery of materials and equipment in a way that maximizes company profitability. This role collaborates daily with cross-functional teams, including Engineering, Service, Administration, Bid & Proposal, and Sales, to support industrial and municipal project applications. The position requires strong purchasing expertise, international logistics experience, excellent communication skills, and proficiency with purchasing systems and MS Office.
Responsibilities
- Manage the end-to-end procurement of materials and major project equipment to support industrial and municipal project applications.
- Ensure all materials and equipment are purchased and delivered on schedule to meet project timelines and operational needs.
- Plan and coordinate international shipments with freight companies, including scheduling, routing, and tracking of shipments.
- Apply knowledge of international shipping practices, including HS codes, shipping documentation, and duties/tariffs, to ensure compliant and cost-effective logistics.
- Negotiate pricing, terms, and conditions with vendors and suppliers to maximize profitability and secure favorable agreements.
- Maintain effective vendor control by evaluating supplier performance, managing relationships, and addressing any delivery or quality issues.
- Use purchasing software, including MRP and ERP systems, to create, process, and manage purchase orders and inventory data.
- Collaborate daily with Engineering, Service, Administration, Bid & Proposal, and Sales teams to understand project requirements and align purchasing and logistics activities.
- Support project management efforts by aligning procurement and logistics plans with project schedules and deliverables.
- Prepare, review, and maintain accurate purchasing and shipping documentation, including purchase orders, shipping documents, and customs-related paperwork.
- Utilize Excel, Word, and Adobe tools to create, update, and manage documentation and reports related to purchasing and logistics.
- Maintain organized electronic filing and documentation systems, including the use of platforms such as Dropbox for records management.
- Communicate clearly and professionally with international team members, vendors, suppliers, and customers to resolve issues and provide updates.
- Manage and prioritize multiple action items and tasks across departments, ensuring timely completion and follow-up.
- Monitor inventory levels and purchasing activity to support effective planning, cost control, and continuous supply.
- Support continuous improvement of purchasing and logistics processes to enhance efficiency, cost-effectiveness, and reliability.
- Bachelor’s degree in Procurement & Supply Chain Management or equivalent work experience in procurement or purchasing.
- Minimum 6+ years of experience in equipment procurement or purchasing.
- Minimum 3 years of experience in logistics and international shipping.
- Experience in purchasing materials and equipment for industrial and municipal project applications.
- Proficiency with purchasing software, including experience using MRP and ERP systems.
- Strong vendor control and negotiation skills.
- Excellent written and verbal communication skills.
- High proficiency with Microsoft Excel and Word.
- Experience working with freight companies to plan and execute international shipments.
- Ability to manage multiple tasks and priorities in a fast-paced environment.
- High proficiency in Adobe software for documentation purposes.
- Strong electronic filing and documentation skills, including experience using Dropbox or similar platforms.
- Ability to obtain HAZMAT shipping certification for relevant goods.
- Possession of a Notary Public Commission is preferred.
- Project management experience is strongly preferred.
- Experience in purchasing major project equipment.
- Experience working with international teams, vendors, suppliers, and customers.
- Ability to work directly with multiple departments and efficiently manage action item lists.
- Strong multitasking and organizational skills.
This is a direct placement, full-time role based 100% onsite at the company’s office in Voorhees, New Jersey. The standard schedule is Monday through Friday, with an eight-hour workday starting at either 8:00 a.m. or 9:00 a.m. The environment is collaborative and project-focused, with regular interaction across Engineering, Service, Administration, Bid & Proposal, and Sales teams. The company has been growing rapidly since its founding in 2008, serving customers around the world, with a strong presence in municipal markets and an expanding footprint in industrial sectors such as food and chemical manufacturing. Work involves extensive use of computers, MS Office applications, purchasing systems (MRP and ERP), and electronic documentation tools. The role reports to the Director of Operations and focuses on purchasing major project equipment and coordinating international freight and logistics.

Pay and BenefitsThe pay range for this position is $75000.00 - $90000.00/yr.
