Our client, a leading provider of life insurance, is seeking an organized, talented Operations and Administrative Specialist to join their team in Airmont, NY!
Job Description
We are seeking a highly organized, detail-oriented, and tech-savvy Operations & Administrative Specialist to join our team in Airmont, NY. This full-time, in-office role is dedicated to supporting the internal operations of a growing life insurance agency. In this position, you will help manage workflows, support key projects, maintain system accuracy, and provide light executive-level administrative assistance.
Responsibilities
- Track and manage operational tasks using project management tools like Asana.
- Maintain CRM and internal systems (e.g., SmartOffice, Asana) with accurate and updated information.
- Coordinate cross-departmental projects and timelines.
- Help build and maintain SOPs and internal process documentation.
- Provide light executive support including calendar organization, meeting preparation, and follow-up tracking.
- Support general office organization and day-to-day team coordination.
Essential Skills
- Expertise in operations planning and reporting.
- Proficiency in administrative support and operations.
- Advanced knowledge of Microsoft Excel and Microsoft Office.
- Experience in finance and accounting.
- Ability to multitask effectively.
Additional Skills & Qualifications
- Degree in business administration, finance, or a related field.
- 3+ years of operations experience.
Work Environment
You will work Monday through Friday from 8 AM to 5 PM, with an early finish at 3 PM on Fridays for religious observance, while being paid for the full day. The company is a mid-sized insurance brokerage organization with roughly 10 people in the office and over 30 salespeople in the field.
