The Administrative Assistant II provides essential administrative support by managing daily communications, maintaining organized records and files, coordinating mailings, and assisting with travel logistics as needed. This part-time role ensures smooth office operations and effective communication across the organization while working 15–20 hours per week on a consistent schedule.
Responsibilities- Respond to incoming emails promptly and professionally, routing messages to the appropriate staff as needed.
- Answer and direct phone calls, take accurate messages, and provide general information to callers.
- Maintain organized electronic and physical filing systems to ensure easy retrieval of records and documents.
- Prepare, assemble, and mail correspondence, informational packets, and other materials.
- Support staff by preparing materials and supplies for meetings, programs, and travel.
- Maintain inventory of office and mailing supplies and reorder items as needed to avoid shortages.
- Prepare travel packets and ensure all necessary materials and supplies are ready for traveling staff.
- Communicate with vendors or venues regarding logistical details as directed.
- Provide administrative support for special projects as assigned.
- Assist with data entry, basic reporting, and recordkeeping tasks.
- Uphold confidentiality and demonstrate professionalism in all interactions.
- At least 2 years of office experience in an administrative or similar support role.
- Proficiency with Google Suite / Google Workplace tools such as Gmail and related applications.
- Strong data entry skills with accuracy and attention to detail.
- Excellent time management skills and ability to maintain a consistent weekly schedule.
- Strong attention to detail in handling documents, communications, and records.
- Effective written and verbal communication skills.
- High school diploma or equivalent.
- Experience with Microsoft Office applications.
- Previous administrative assistance experience in a professional office environment.
- Financial knowledge or familiarity with basic financial concepts is a plus but not required.
- Ability to support special projects and adapt to changing priorities.
- Comfort working independently while collaborating with a small team.
This is a part-time position of approximately 15–20 hours per week, with flexibility on the specific days and hours as long as the schedule is consistent each week. Work hours must fall between 8:00 a.m. and 4:30 p.m. The role is based in an office building, with an individual office space and a small team of around 10–12 colleagues, offering a quiet and comfortable work environment. The dress code is business casual, with jeans acceptable on Fridays. This setting is well-suited for someone seeking part-time hours, whether as a second job, a way to return to the workforce, or for other personal reasons.
