Job Description
This Executive Assistant role offers an opportunity to support company leadership and play a key part in day-to-day business operations within a high-growth technology and defense startup environment. You will work closely with executives and cross-functional teams, providing administrative and coordination support while gaining direct exposure to strategic projects and decision-making. Responsibilities
- Provide comprehensive administrative support to company leadership, including executives and founders.
- Manage complex calendars and schedules, ensuring efficient coordination of meetings, appointments, and internal and external commitments.
- Coordinate domestic and international travel arrangements for executives, including flights, accommodations, ground transportation, and itineraries.
- Organize and support company events, meetings, and off-site activities, handling logistics, invitations, and follow-up tasks.
- Assist with daily business operations and office coordination to ensure smooth and efficient workflows.
- Prepare, edit, and format documents, presentations, and reports using Microsoft Word, Excel, and PowerPoint.
- Maintain accurate records and perform data entry tasks with strong attention to detail and confidentiality.
- Serve as a professional point of contact for internal stakeholders and external partners, providing excellent customer service.
- Prioritize and manage multiple tasks and competing deadlines in a fast-paced environment.
- Proactively identify opportunities to improve processes and take initiative in supporting strategic projects and business operations.
- Collaborate with cross-functional teams to support ongoing initiatives and special projects as needed.
- Handle expense-related tasks and support the use of tools such as Concur or similar systems for travel and expense management.
Essential Skills
- 2–3 years of experience in administrative support, office coordination, executive assistant, project coordination, or a closely related role.
- Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
- Demonstrated experience with calendar management and scheduling for busy professionals.
- Strong organizational skills with the ability to manage multiple priorities and deadlines simultaneously.
- Excellent verbal and written communication skills, with a professional and polished communication style.
- Proven ability to work effectively in a fast-paced environment and adapt to changing priorities.
- High level of attention to detail and accuracy in all tasks.
- Self-starter mindset with a strong willingness to learn, take initiative, and work independently when needed.
- Professional demeanor and the ability to interact confidently with leadership and external partners.
- Customer service orientation and a collaborative approach to working with cross-functional teams.
Additional Skills & Qualifications
- Bachelor’s degree is preferred.
- Experience supporting managers, founders, or leadership in a professional setting.
- Prior experience working in a startup, technology, engineering, manufacturing, or defense-related environment.
- Experience coordinating executive travel, events, and schedules.
- Familiarity with tools such as Concur or similar systems for travel and expense management.
- Experience in executive administrative support or high-level administrative assistance.
- Ability to handle sensitive information with discretion and maintain confidentiality.

Work Environment
This role is 100% on-site, Monday through Friday, offering consistent in-person collaboration with company founders, leadership, and cross-functional teams. Pay and BenefitsThe pay range for this position is $28.00 - $28.00/hr.
