Medical Support Assistant
Job Description
This remote Medical Support Assistant role provides critical administrative and scheduling support for a large healthcare system serving Veterans in the Salt Lake City area. You will coordinate patient appointments, manage community care consults, handle high-volume phone interactions, and maintain accurate patient information to ensure timely, efficient, and compliant access to care.
Responsibilities
- Schedule and manage patient appointments using designated VA systems, ensuring accuracy and timeliness.
- Process, track, and follow up on community care consults in accordance with established workflows.
- Validate and update patient demographics and insurance information in the appropriate systems.
- Conduct patient outreach by phone and other approved channels, including managing no-shows within 24 hours.
- Handle inbound and outbound calls professionally, consistently answering within five rings whenever possible.
- Monitor and work reports and recall reminders to support ongoing patient care and follow-up.
- Process incoming and outgoing faxes and mail while strictly maintaining HIPAA and privacy compliance.
- Maintain a scheduling accuracy rate of at least 98%, promptly correcting any identified errors.
- Use Microsoft Office tools, including Word, Excel, Outlook, and Teams, to support daily administrative tasks and communication.
- Collaborate with clinical and administrative teams to support care coordination and smooth clinic operations.
- Document all actions, communications, and updates clearly and accurately in the appropriate systems.
- Work independently in a remote setting, managing time and workload effectively with limited direct supervision.
Essential Skills
- At least 6 months of customer service or call center experience.
- Experience with scheduling or healthcare administration in a clinical or medical office setting.
- Strong patient scheduling skills with attention to detail and accuracy.
- Demonstrated customer service skills with professional phone etiquette and clear communication.
- Ability to type at a speed of 50+ words per minute.
- Proficiency in Microsoft Office, including Word, Excel, Outlook, and Teams.
- Basic knowledge of medical terminology.
- Awareness of HIPAA and privacy requirements and ability to maintain confidentiality.
- Ability to work independently and stay productive in a remote environment.
- Comfort with heavy computer and phone usage in a fast-paced setting.
Additional Skills & Qualifications
- Experience using VA systems such as CPRS, VistA, ISS, HSRM, PPMS, CTM, or PCI.
- Prior experience in VA or federal healthcare environments.
- Experience handling community care referrals or consult workflows.
- Background in medical reception, medical administration, or care coordination.
- Strong organizational skills with the ability to manage multiple tasks and priorities.
- Ability to build rapport with patients and internal teams through professional and empathetic communication.
Work Environment
This position is 100% remote and supports a large VA Medical Center and associated clinics and community care teams in the Salt Lake City, Utah area. Candidates must reside within approximately 50 miles of Salt Lake City to meet operational requirements. The role involves a fast-paced healthcare operations environment with heavy computer and phone usage throughout the day. You will work independently with limited direct on-site supervision while remaining closely connected to clinical and administrative teams through virtual collaboration tools. No regular travel is required, although there may be occasional in-person onboarding or fingerprinting activities as needed. The work focuses on delivering accurate, timely, and respectful support to Veterans and healthcare staff in a professional, mission-driven culture.
Job Type & LocationThis is a Contract position based out of Salt Lake City, UT.
Pay and BenefitsThe pay range for this position is $21.33 - $21.33/hr.
