Job Description
The Inside Sales Administrator plays a crucial role in managing and responding to customer requests for quotes, proposals, and information. This position involves handling a couple of hundred quotes at any given time and requires written correspondence and telephone contact to provide timely responses. The role includes entering new inquiries into the internal database, preparing responses with established pricing, and creating reports to communicate the status of ongoing proposals. Engaging proactively with customers to follow up on aging quotes and determining the likelihood of award is essential.
Responsibilities
- Field incoming customer Requests for Quote (RFQ), Requests for Proposal (RFP), and Requests for Information (RFI) and provide responses via written correspondence and telephone contact.
- Enter new inquiries into the company internal database for tracking throughout the quoting process and maintain document repositories for customer-provided information.
- Prepare responses to customer requests for services with established pricing.
- Create daily and weekly reports to communicate the status of ongoing proposal activities to management.
- Proactively engage with customers on a weekly basis to follow up and ascertain the status of aging quotes and proposals.
- Enter customer orders, confirm order receipt and delivery dates, and manage the contract review and sign-off process.
- Manage various customer portals and monitor them for incoming orders and complete company representations and certifications required by customers.
- Work with all internal functional managers to develop a cohesive response to customer requests for order status, order changes, and schedule expedites.
- Support Business Development efforts, including preparation of contract proposal documents and attending trade shows and periodic customer visits.
- Perform other duties as they arise to support sales and business development.
Essential Skills
- 3-4 years of strong inside sales and customer experience.
- Experience in ship repair or shipyard industry is required.
- Ability to handle inbound calls and provide excellent customer service.
- Strong data entry skills with proficiency in Microsoft Office, especially Excel.
- Experience with CRM software and account management.
Work Environment
The work environment offers flexible hours between 6:30am and 5pm, with a mandatory onsite presence at 8:30am for daily meetings. The role provides an opportunity to learn and grow within a small team, with the potential to take over the Business Development role in the future. The work setting is supportive, fostering collaboration and independence.
