Summary:
We are seeking a highly organized and proactive Executive Administrative professional to provide comprehensive support to senior leadership within a dynamic, globally connected engineering and customer-facing team. This hybrid role is based onsite four days per week and requires a polished, experienced administrator capable of managing complex calendars, coordinating high-stakes travel, and driving operational excellence across a fast-paced leadership environment. The ideal candidate brings a strong background supporting C-suite or VP-level executives at a major technology company and thrives in an environment that demands discretion, adaptability, and strategic thinking.

Job Responsibilities:
- Provide strategic calendar and time-planning support for senior leadership, protecting focus time, resolving scheduling conflicts, managing tradeoffs, and reducing low-value calendar noise
- Partner with the Chief of Staff and leadership team to plan and execute rhythm-of-business activities including leadership forums, business reviews, All Hands meetings, and people and rewards cadences
- Manage domestic and international travel end to end, including complex itineraries, documentation, customer and partner meetings, executive briefings, conferences, and speaking engagements
- Own executive meeting and event logistics including scheduling, attendee coordination, room and virtual meeting setup, audiovisual readiness, catering, briefing materials, notes, and action item tracking
- Operate within a shared administrative support model, enabling clear handoffs and global coverage while following standardized intake and calendar practices
- Support core business operations including executive expense reporting, discretionary budget and purchase-order tracking, headcount and recruiting administration, and onboarding and offboarding processes
- Manage distribution and security groups, hardware requests, and space management for the team
- Support executive visits and customer engagements, coordinating logistics and preparation materials for high-visibility interactions
- Drive continuous operational improvement by anticipating risks, simplifying workflows, and leveraging approved AI tools to enhance efficiency
- Contribute mentorship and leadership within the broader Business Support community
- Minimum 5 years of executive administrative experience supporting VP-level or above leadership
- Prior experience at a major technology company such as Amazon, Google, Meta, or equivalent large enterprise organization strongly preferred
- Demonstrated experience communicating and coordinating directly with external executive offices and partner organizations
- Proven track record managing executive calendars, travel, and high-visibility events in a fast-paced environment
- Experience supporting customer-facing or partner-facing executive engagements is a strong plus
- Bachelor's degree or equivalent practical experience preferred
- Candidates must be able to reliably commute to and work onsite four days per week in Redmond, WA
- Exceptional calendar management and time-planning skills with the ability to support multiple senior leaders simultaneously
- Strong written and verbal communication skills for interaction with internal and external executive offices
- Proficiency leveraging AI tools and productivity software to streamline administrative workflows
- Ability to manage complex, multi-leg domestic and international travel arrangements
- Experience coordinating large-scale meetings, events, and executive briefings with precision and professionalism
- Strong organizational skills with the ability to manage competing priorities and resolve last-minute issues calmly
- Demonstrated discretion and sound judgment when handling confidential information
- Familiarity with budget tracking, purchase orders, and expense management processes
- Ability to work effectively within a globally distributed team and support cross-regional coordination
- Location: Redmond, WA (Hybrid: 4 days onsite)
- Duration: 5 months
- Pay Range*: $34 - $38.50 per hour
- Weekly Schedule: 40 hours
