Job Description
The Recruiting Coordinator works closely with a team of recruiters in a fast-paced recruiting organization. This role serves as an integral partner in managing recruiting activities and building strong candidate relationships, often providing candidates with their first impression of the organization. The ideal candidate is highly organized, communicates clearly, collaborates effectively with internal and external stakeholders, and can shift priorities quickly. This position offers an excellent opportunity to broaden recruiting and administrative experience within a high-performing talent acquisition team.
Responsibilities
- Schedule interviews and phone screens by working directly with candidates and hiring managers, including arranging travel for visiting candidates when needed.
- Update candidate records and job postings in recruiting systems to ensure accurate and current information.
- Confirm new hires in the recruiting systems and support the completion of related administrative steps.
- Provide timely follow-up correspondence to candidates regarding their recruiting status via phone and email.
- Track recruiting activities and prepare weekly reports on candidate status and pipeline progress.
- Coordinate post-interview debrief meetings and distribute debrief materials to interviewers and hiring teams.
- Identify opportunities to improve the candidate experience and enhance scheduling efficiency throughout the recruiting process.
- Assist in the coordination and execution of other recruiting activities and projects as needed.
- Partner closely with recruiters and other team members to ensure a smooth, consistent, and professional recruitment process for all candidates.
- At least 1 year of experience as a recruiting coordinator or in a coordination-focused role.
- Proficiency with Microsoft Word, Excel, and PowerPoint.
- Bachelor’s degree.
- Demonstrated ability to manage multiple schedules and competing priorities.
- Experience providing administrative support in a professional environment.
- Ability to communicate clearly and professionally with candidates and internal stakeholders.
- Strong organizational skills and attention to detail when handling candidate data and scheduling.
- Background in administrative support, executive assistance, or similar coordination roles.
- Experience with scheduling in healthcare, medical scheduling, or other complex scheduling environments.
- Former experience as a Recruiting Coordinator or similar talent acquisition support role.
- Superb customer focus with a commitment to delivering an excellent candidate experience.
- Exceptional attention to detail and strong organizational skills in a high-volume environment.
- Strong oral and written communication skills, including professional email and phone etiquette.
- Ability to thrive in a fast-paced, quickly changing environment and adapt to shifting priorities.
This role operates in a fast-paced, dynamic recruiting organization where priorities can shift quickly and collaboration is essential. The Recruiting Coordinator works closely with recruiters, hiring managers, and candidates, primarily using office productivity tools such as Microsoft Word, Excel, and PowerPoint, along with internal recruiting systems. The environment emphasizes responsiveness, professionalism, and a strong focus on delivering a positive candidate experience. Work is primarily office-based or remote-office based, with frequent interaction via phone, email, and virtual meetings.

This is a Contract position based out of Seattle, WA.
Pay and BenefitsThe pay range for this position is $25.00 - $25.00/hr.
