Job Description
This role is responsible for accurately processing payroll, maintaining precise timekeeping records, and ensuring compliance with payroll legislation and company policies. You will manage the full payroll cycle, support employees and management with payroll queries, and work closely with finance to provide timely and accurate reporting.
Responsibilities
- Gather and verify information on hours worked for each employee, including timecards and timesheets.
- Calculate gross and net pay accurately, incorporating overtime, deductions, bonuses and other pay elements using a computerised payroll system.
- Ensure all payroll calculations comply with applicable payroll laws and regulations, including local requirements such as meal penalties and related rules.
- Obtain approval from senior leadership for payroll payments when required.
- Prepare and execute pay runs through an electronic payroll system or arrange for the distribution of physical paycheques.
- Administer and distribute statements of payment to employees, either electronically or on paper.
- Process payroll-related taxes and ensure timely payment of employee benefits.
- Maintain accurate records of hourly rates, wages, compensation and benefit rates, and new hire information.
- Audit timecards and correct discrepancies in timekeeping records promptly and accurately.
- Address employee and management questions and issues related to payroll, timekeeping and pay calculations in a professional and timely manner.
- Prepare regular payroll reports for senior management, the finance department and other stakeholders as required.
- Maintain strict confidentiality of payroll data and employee information at all times.
- Collaborate with HR and other departments to ensure accurate and up-to-date employee records for payroll purposes.
- Proven experience working with timecards, timesheets and payroll support functions.
- Hands-on experience auditing and correcting timecards and other timekeeping records.
- Practical knowledge of payroll systems such as Paycom, ADP, Kronos, Paychex, Paylocity or similar platforms.
- Working understanding of payroll legislation and regulations, including California payroll law and related rules such as meal penalties.
- Solid understanding of accounting fundamentals and payroll best practices.
- Very good knowledge of relevant legislation and regulatory requirements in the payroll field.
- Proficiency in MS Office, particularly Excel, for payroll data management and reporting.
- Ability to work confidently with payroll software and databases to process and reconcile payroll.
- Strong attention to confidentiality and the ability to handle sensitive information responsibly.
- Outstanding organisational skills with excellent attention to detail and accuracy.
- Excellent verbal and written communication skills for interacting with employees, management and finance teams.
- High school diploma or equivalent.
- Experience with multiple payroll or timekeeping systems, such as Kronos, Paycom, Paylocity and similar platforms.
- Data entry experience with a high level of speed and accuracy.
- BSc or BA in business, accounting or a related field.
- Working knowledge of employment law as it relates to payroll and timekeeping.
- Ability to communicate effectively in Spanish is an advantage.
- Comfort working in a manufacturing environment rather than a traditional office setting.

Work Environment
This role is based in a manufacturing environment rather than a typical office setting, so you can expect to work close to operational teams and production activities. Standard working hours are Monday to Friday, either 8:00 to 16:30 or 7:30 to 16:00, providing a consistent daytime schedule. The dress code is casual but neat, typically jeans with a smart or presentable shirt. You will use computer-based payroll and timekeeping systems regularly, along with standard office software, in a setting that combines both administrative tasks and interaction with on-site staff.

This is a Contract to Hire position based out of Visalia, CA.
Pay and BenefitsThe pay range for this position is $24.00 - $26.00/hr.
