Job Title: Construction Administrator
Job Description
The Construction Administrator provides critical administrative and documentation support to project management and field operations teams in a fast-paced construction environment. This role maintains project records, coordinates communications, schedules site visits and meetings, and ensures that project documentation is accurate, organized, and easily accessible. The ideal candidate is professional, detail-oriented, proactive, and comfortable managing multiple priorities while supporting smooth project execution.
Responsibilities
- Update and maintain company files, project records, and construction document logs to ensure information is current and accurate.
- Organize and track project documentation, including contracts, drawings, submittals, RFIs, change orders, and meeting notes.
- Answer and direct incoming phone calls in a professional and courteous manner.
- Respond to and coordinate inquiries from vendors, subcontractors, customers, and clients, ensuring timely and clear communication.
- Schedule site visits, meetings, and project-related appointments for project managers, superintendents, and other team members.
- Assist project managers and superintendents with meeting debriefs and the distribution of meeting notes and follow-up items.
- Draft, edit, and distribute project correspondence and reports, maintaining a professional tone and clear formatting.
- Maintain accurate filing systems, both electronic and hard copy, for easy retrieval of project information.
- Support project teams with a variety of administrative tasks to help ensure smooth and efficient project execution.
- Coordinate document distribution between office staff, field personnel, clients, and subcontractors.
- Assist with tracking project schedules, deliverables, and outstanding action items, helping to keep projects on track.
Essential Skills
- Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and Teams.
- Experience using Adobe Acrobat for PDF creation, editing, and document management.
- Strong computer skills with accurate and efficient data entry capabilities.
- Ability to work independently while also collaborating effectively with project teams.
- 2+ years of administrative experience, preferably within the construction industry.
- Strong organizational skills with excellent attention to detail.
- Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
- Excellent verbal and written communication skills.
- Professional customer service skills when interacting with clients, vendors, and subcontractors.
Additional Skills & Qualifications
- Experience working in the construction industry, engineering, or contracting environment.
- Familiarity with construction documentation and project management processes.
- Experience with document control and construction software platforms.
- Experience in project coordination and administrative support in a professional office setting.
- Experience with calendaring and scheduling for multiple stakeholders.
Work Environment
This is a 100% in-office role in a professional construction office setting. Standard hours are approximately 7:00 AM to 3:30 PM, with some flexibility when staff meetings or project needs occur later in the day. The work environment is fast-paced and collaborative, with regular interaction between office staff, field personnel, vendors, subcontractors, and clients. The role involves extensive use of Microsoft Office applications, Adobe Acrobat, and electronic filing systems, along with traditional hard copy document management. Professional office attire is expected, and the position requires consistent on-site presence to effectively support project management and field operations.

Pay and BenefitsThe pay range for this position is $20.00 - $25.00/hr.
