Administrative Assistant (Contract)
Please note that this is a contract role providing services to Microsoft through external staffing partners of Allegis Global Solutions. If you are selected for this role, you will be employed by AGS and will not be an employee of Microsoft.
Summary:
We are seeking a highly organized, proactive, and detail-oriented administrative professional to support senior-level executives in a fast-paced, dynamic, and collaborative environment. This hybrid role, based onsite a minimum of three days per week in Redmond, WA, requires exceptional judgment, discretion, and the ability to manage competing priorities with efficiency and professionalism. The ideal candidate thrives in complex, high-volume settings, anticipates the needs of leadership, and drives seamless day-to-day operations that enable executives to remain focused on strategic priorities. This is a staff augmentation contractor role with an estimated schedule of 40 hours per week, Monday through Friday, with approximately 10 hours of overtime per month.

Job Responsibilities:
- Manage complex executive calendars, prioritize high-volume meeting requests, resolve scheduling conflicts, and coordinate across multiple time zones
- Serve as the primary point of contact for internal and external stakeholders, managing communications and triaging requests with professionalism and sound judgment
- Make real-time calendar adjustments based on shifting business priorities and ensure all stakeholders are informed and prepared
- Coordinate domestic and international travel arrangements in full compliance with company policies
- Process and reconcile business expenses, manage purchase orders, and assist with budget tracking and reporting
- Plan, organize, and support team meetings, offsites, and events including agenda preparation and logistics coordination
- Maintain trackers and reporting mechanisms for key team initiatives and operational workflows
- Manage procurement of goods and services including computer equipment, office supplies, and vendor relationships
- Provide general office and facility support, serving as the department or group contact
- Complete special projects and assignments as directed by leadership
- 5+ years of proven experience managing complex executive calendars, including high-volume scheduling and multi-time-zone coordination
- 4-5+ years of hands-on experience with expense management, travel coordination, purchase orders, and budget tracking
- 4+ years of advanced proficiency with Microsoft 365 business tools and related operational systems
- Prior experience supporting senior leaders in a fast-paced, matrixed, or large enterprise environment strongly preferred
- Experience planning and executing team events, offsites, and large-scale meetings
- Exceptional organizational and prioritization skills with strong attention to detail
- Advanced proficiency in Outlook for calendar and email management
- Proficiency in Microsoft Teams, Excel, and PowerPoint
- Familiarity with internal systems for expense reporting and operational workflows
- Strong written and verbal communication skills with a high degree of professionalism
- Demonstrated ability to exercise discretion and maintain confidentiality
- Proactive, resourceful, and solutions-oriented mindset with the ability to work independently
- Strong cross-functional collaboration and stakeholder management capabilities
- Ability to navigate ambiguity and adapt quickly to changing priorities

- Duration: 12 months
- Pay Range*: $30 - $34 per hour
- Weekly Schedule: 40 hours
- Job Status: Non-Exempt
