Summary:
We are seeking a highly skilled and experienced Executive Administrator to serve as a trusted partner to VP- and GM-level leaders within a fast-paced, rapidly growing marketing organization. This role is central to enabling executive leadership effectiveness through expert calendar management, seamless meeting coordination, and proactive operational support. The ideal candidate thrives in a dynamic, matrixed environment, demonstrates exceptional judgment and discretion, and brings a strong ability to manage competing priorities while keeping key initiatives moving forward. No two days are the same - this position demands adaptability, professionalism, and a genuine passion for supporting senior leaders at the highest level.

Job Responsibilities:
- Manage complex, global calendars for VP- and GM-level executives, including resolving scheduling conflicts and prioritizing competing demands
- Coordinate and prepare for leadership meetings, including agenda creation, logistics, and follow-up on action items
- Handle executive communications with professionalism, discretion, and attention to detail
- Support leadership team rhythms of business, including staff meetings, business reviews, and planning cycles
- Coordinate domestic and international travel arrangements and process business expense reports accurately and on time
- Plan and execute team events, offsites, and large-scale meetings from end to end
- Collaborate cross-functionally with senior leaders, business managers, Finance, HR, and other stakeholders to advance key initiatives
- Manage procurement of goods and services including computer equipment, office supplies, and vendor relationships
- Serve as a primary point of contact for the department, managing facility operations and general office support
- Handle confidential information with the utmost discretion and professionalism
- Complete special projects and ad hoc assignments as directed by executive leadership
- 5+ years of executive calendar management experience supporting VP-level or senior executives, including complex global scheduling and prioritization
- 5+ years of executive operations support experience, including travel management, expense processing, event and offsite coordination, and leadership team rhythm of business management
- 5+ years of Microsoft 365 proficiency, including meeting coordination, presentation development, and executive communications support
- Prior experience in a large, matrixed organization is strongly preferred
- Previous experience supporting executive leadership within a technology or marketing organization is highly desirable
- Citizenship attestation is required for this role
- Ability to meet hybrid on-site requirements in Redmond, WA as needed
- Exceptional organizational skills with the ability to manage multiple priorities simultaneously in a fast-paced environment
- Strong proficiency in Microsoft 365, including Outlook, Teams, PowerPoint, Excel, and Word
- Demonstrated ability to manage complex global calendars and executive scheduling with precision
- Excellent written and verbal communication skills, including experience drafting executive-level communications
- Ability to anticipate executive needs proactively and act with minimal direction
- Strong interpersonal skills with the ability to influence without authority and build relationships across all levels of an organization
- High degree of professionalism, discretion, and sound judgment when handling sensitive or confidential information
- Comfort navigating ambiguity and adapting quickly to shifting priorities in a matrixed organization
- Experience supporting business planning, strategy, operations, finance, or executive leadership teams
- Location: Redmond, WA (Hybrid - Candidate must be able to come onsite as needed. )
- Duration: 11 months
- Pay Range*: $30 - $34 per hour
- Weekly Schedule: 40 hours
- Job Status: Non-Exempt
